How to Vote at the AGM
This year’s vote will be held online using ElectionBuddy, whether you’re joining us in the room or attending online. Here is exactly what will happen and what you need to do — no computer experience required.
Before the Meeting
How you receive your voting details depends on how you registered to attend. Find your situation below.
Attending in person
You’ll receive your Voting Code and Password on a printed slip when you sign in at the registration desk on the day.
Attending online
Look out for an email at the address you registered with. It will contain your voting link, your username, and your password. Please check your spam or junk folder if it doesn’t arrive.
Steps to Cast Your Vote
Get your voting link and credentials
In person: collect your slip at registration. Attending online: open the email sent to your registered address — it has the voting link, username, and password already in it.
Go to the voting page
In person, use your own phone or tablet, or a kiosk device set up at the venue. Online, simply tap the voting link in your email.
Enter your username and password
Type these in exactly as given (or they may already be filled in if you tapped the link from your email). Ask a helper nearby if any letters or numbers are hard to read.
Review the candidates
You’ll be shown candidates for three separate elections: the Board of Directors, the Credit Committee, and the Supervisory Committee.
Make your selections
For each committee, select candidates up to the number stated in the on-screen instructions. The Returning Officer will also announce these instructions at the meeting, for the benefit of both in-person and online voters.
Submit your vote
Once you’ve gone through every committee, you’ll be asked to confirm and submit. Your vote is only counted once you see the confirmation screen.
Keep your confirmation on screen
Wait for the “Thank you, your vote has been received” message before closing the browser or handing back a kiosk device.
What You’ll Be Voting On
The ballot covers three separate committees. Read each set of instructions carefully — the number of candidates you may select is not the same for every committee.
Board of Directors
Select candidates up to the number stated in the on-screen instructions for this committee.
Credit Committee
Select candidates up to the number stated in the on-screen instructions for this committee.
Supervisory Committee
Select candidates up to the number stated in the on-screen instructions for this committee.
The Returning Officer will confirm these numbers verbally at the meeting for everyone’s benefit — in person and online.
A Few Important Things to Know
Your username and password are private. They work only once. Please don’t share them with anyone else, and don’t let anyone vote on your behalf.
- If you’re attending in person, you’ll need an internet or Wi-Fi connection to use your own phone or tablet — Wi-Fi details will be available at the venue. Kiosk devices will also be set up for anyone who prefers not to use their own device.
- If you’re attending online, watch for the email at the address you used to register. It’s best to keep that inbox open during the meeting so you can vote at the right time.
- You can only submit your vote once. If something goes wrong before you submit, ask for help before trying again.
- Listen for the Returning Officer’s instructions at the meeting — they apply to both in-person and online voters and confirm how many candidates to select for each committee.
- If you’re unsure about any step and you’re in the room, simply raise your hand — volunteers will be on hand to help.

Contact details for support will be included in your registration email.

Voting is conducted through ElectionBuddy, an independent third-party voting platform. Results are tallied securely and will be shared at the close of the meeting.
